The Hamlet at Samlesbury, Terms & Conditions

These terms and conditions are valid throughout your stay at The Hamlet. Please read through the following carefully.

Bookings & Payments

You must be 18 years or older to make a booking. All children under the age of 18 must be accompanied by a responsible adult during their stay. By making a booking, you agree to be responsible for any children in your care, along with your own welfare and to take all reasonable precautions against personal injury, injury to others and damage to grounds and facilities of The Hamlet and Samlesbury Hall.

A copy of our risk assessment is available to view in reception.

If you are making a booking on behalf of someone else, you are responsible for ensuring they are aware of and comply with these terms and conditions. You are also responsible for contacting the Hall with the guests’ details, and to pass on the booking confirmation email. Guests may be asked proof of identity on arrival.

The individual completing the booking is responsible for providing all members of the group with a copy of these terms and conditions.

All bookings made are non-transferable, and Samlesbury Hall and The Hamlet reserves the right to refuse a booking at all times, without a statement of reasons. If you do wish to transfer your booking, you will be charged the full amount again.  

We require a 50% deposit to secure the booking, and the remaining balance is due one month before your stay. Any bookings made less than a month in advance must be paid for in full. Bookings will be confirmed via email, any errors must be informed to Samlesbury Hall immediately.

If booking a Shepherd’s Hut through a special offer the amount must be paid in full. This amount is non-refundable and non-transferable. This will be stated in the small print of each offer.

Samlesbury Hall and The Hamlet reserve the right to rebook any competition winners. If this is necessary, The Hamlet will offer an alternative date for guests to rebook but will not offer any compensation.

Group Bookings

Samlesbury Hall and The Hamlet reserve the right to refuse large group bookings, if we believe it will be detrimental to other guests staying that evening.

Any large groups that do stay and are found to be causing a disturbance will be asked to leave and will not be reimbursed.

Pets

Dogs are allowed in specific Shepherd’s Huts on site. Our dog-friendly huts can cater for two small dogs or one medium sized dog. Large dogs are not allowed due to space constraints in the hut. To bring a dog with you it will cost £10 per dog per night, this must be booked and paid for prior to your stay.

Dogs are not permitted inside Samlesbury Hall, but are permitted in the grounds of the Hall, Dottie's Wafflery and the Heritage Cafe as long as they are kept on a lead.

Any dogs found to be staying in your hut without a pre-reservation will be charged £30. Any dogs booked to stay that are causing damage to the Shepherd’s Huts or Grounds will also be charged.

The site does not accept breeds/crossbreeds listed in the Dangerous Dogs Act or any dogs that we deem to be unsafe (i.e., XL Bully, Pit Bull Terrier, Japanese Tosa, Dogo Argentino, and Fila Brasileiro).

Rates

Prices displayed on our website are not binding. The price that appears on your final confirmation is the price you will be charged, unless there is a clear and obvious error. If you are booking with a special offer or a discount code, you must have proof of this or you will be charged full price. Prices that appear on the final invoice cannot be amended with any discounts or special offers once it has been issued.

Cancellations

Our cancellation policy is as follows:

Bookings made over 6 months prior– you will receive a 50% refund of the final balance. Bookings made less than 6 months prior– you will be charged the full amount and bookings are non-refundable. Bookings made through any third party special offer sites (for example Travelzoo, Wowcher etc) will be charged the full amount and will not receive a refund.

Damages

You are responsible for any damages in your Shepherd’s Hut. Huts are all fully inspected before and after your stay and any damages found will be charged for. This includes any property belonging to Samlesbury Hall or any other guests or visitors on the premises.

Lost Property

If you think you may have lost something of yours at the Hall, please contact reception@samlesburyhall.co.uk with details.  We keep any items found on site for 7 days, following which they will be disposed of.  If your belongings are found we ask that you arrange a time to come and collect them, otherwise we charge a £30 admin fee plus postage if you require your item to be posted to you.  Please be aware that any lost property will only be posted out once a month so there may be a delay in receiving your items.

Keys

The hut keys are your responsibility throughout your stay. Any loss or damage to any keys will be charged a fixed cost of £10 per key.

Arrival and Departure

Check-In time for The Hamlet is from 3pm until 5pm, and Check-Out is 10am. Wherever possible, please do let us know your expected arrival time. If necessary, we can arrange for a late check-in but please let reception know in advance (call 01254 812010 to do so, or email reception@samlesburyhall.co.uk prior to the date of your stay). We can then leave you instructions and maps to ensure a smooth late check in for you.

Upon arrival, guests will be asked to provide their vehicle registration plate. 

Guests' visitors not staying at The Hamlet are welcome during the opening hours of Samlesbury Hall (10am – 4pm). After 4pm, any visitors not staying at The Hamlet must leave the premises.

Parking

Parking at Samlesbury Hall and The Hamlet is free. Each Shepherd’s Hut has one allocated parking space. Additional cars are welcome to park on the car park at the Hall. On arrival we will require the registration plates of all cars staying overnight. All vehicles and contents are left at the owners own risk. Samlesbury Hall and The Hamlet will not take any responsibility for theft, loss or damage to vehicles left on site overnight.  

House Rules

Guests mustn’t, under any circumstances, play loud music or disturb other guests and neighbours, and no big parties are to take place. Please remember that there are other guests staying on site, and we do have neighbours close to Samlesbury Hall, who do not wish to be bothered throughout the evening. Any guests causing a disturbance (this includes letting off fireworks and excessive noise) will be fined. The list regarding disturbance is not exhaustive and the management of Samlesbury Hall have the the final say on what they consider to be a disturbance.

Samlesbury Hall has a zero tolerance regarding drugs and illegal substances and will contact the police in all circumstances upon discovery.  As with any other acts of breaking the law, you will be immediately ejected from your accommodation with no reimbursement of your stay.  

Each hut is strictly no smoking. This includes cigarettes, vapes, pipes, cigars and all other smoking paraphernalia (electric or otherwise). Any guests found to have used smoking paraphernalia inside the huts will be charged a fee for specialist cleaning. Please also refrain from smoking in the doorway of your hut, it will set off the smoke alarms.

Under no circumstances must you bring tents, camper vans or any other means to sleep overnight.

Please note the use of barbecues and fire pits may be restricted or withdrawn for safety reasons without prior notification.

Should any of the house rules be broken a mandatory £500 fine will be charged.

Access to Samlesbury Hall

During private functions the historic house and Grounds are closed (with the exception of reception). This includes guests staying in The Hamlet. Further details of those closed dates are provided on our website OPENING TIMES, however they can change with no notice.  The Grounds that are closed include the gardens, the courtyard, the Mayflower Play Area and both the Front Lawn and Tennis Lawn.

The gates to Samlesbury Hall will be locked when the Hall itself is closed. However you will be given keys for this upon check in and the procedure explained.

Complaints

Any complaints must be reported immediately or upon check-out to a member of staff. If the complaint is not settled to your satisfaction, you have one month to email reception@samlesburyhall.co.uk in order to resolve the issue.

Any complaints or problems with the huts that need immediate attention, please contact the out of hours numbers provided in the information books in each hut.

Liability

Samlesbury Hall and The Hamlet accepts no liability for theft, loss or damage of items during or as a result of a stay at The Hamlet.

Guests are responsible for damages or losses which occur as a direct or indirect consequence of their stay. 

General

Please be aware that there will be other guests on site and we ask that you are respectful.

Maximum occupancy in each hut is 4 adults, and one baby in a travel cot (not supplied by Samlesbury Hall, you must bring your own).

There must be no naked flames inside, under or close by the huts. Fires and BBQs are only permitted in the fire pits provided. Cooking equipment must not be operated in the huts. Only the kettles provided must be used.

While permitted on-site at The Hamlet, no food or drink can be taken into Samlesbury Hall or its Grounds. This is clearly denoted throughout the Hall and Grounds. This includes the consumption of alcohol.

Any refunds being issued will only be made to the card used on the booking. Any other card will not be accepted.

Agreement

I have read the terms and conditions and agree on behalf of all members of my party to abide by the above conditions. By booking the hut you confirm that you have read and agree to these terms and conditions.
